# How to Email Players Using the Messages Tab in PT

The Messages tab in Pickleball Tournaments (PT) lets you send targeted email campaigns to your registered players. You can target all attendees or specific groups, schedule sends in advance, and use templates for common communications like start times and weather alerts.

## How to send an email to players

1. From your tournament, open the **3-line menu** and select the **Messages** tab.
2. Click the green **Add a Campaign** button.
3. Fill in the campaign details (see field descriptions below).
4. Toggle **Ready to Send as Scheduled** to **Yes**. Without this, the email will not send.
5. Optionally enter your email address in the **Send Test** field to preview what players will receive.
6. Click **Save**. The email will send at your scheduled date and time.

> **Warning:** Always toggle Ready to Send as Scheduled to Yes before saving. If this is left off, your email will never send regardless of the scheduled time.

## Campaign field reference

| Field | What it does |
| --- | --- |
| Campaign Title | Internal label for your own reference — not visible to players |
| Reply to Email | The email address players can reply to |
| From Name | The sender name that appears in the player's inbox |
| Type | Who receives the email — use the dropdown to target all attendees, waitlist players, managers, or other groups |
| Date & Time to Send | When the email sends — allow at least 30 minutes from now for the email to queue properly |
| Registration Date | Optional filter to target players who registered within a specific date range |
| Gender | Optional filter to target players by gender |
| Specific Events | Optional filter to send only to players in selected events — if none selected, all players in the Type group receive the email |

> **Recommended:** Schedule emails at least 30 minutes in advance. If you set a send time less than 30 minutes away on a large tournament, the email may not queue in time and could fail to send.

## Email templates

After setting your audience and schedule, click **[Email Templates](/72000649948-how-to-use-the-messaging-templates)** to compose your message. Some campaign types offer pre-built templates — others provide a blank text field. Fill in your content and save.

> **Note:** For urgent weather communications, use PT's dedicated weather alert system rather than a standard campaign email. Weather alerts are sent immediately and bypass the standard queue. See Managing Weather Delays: A Guide for Tournament Directors.

### Can I schedule emails in advance?

Yes. Set up your campaigns in advance with a future send date. This is especially useful for registration deadline reminders, start time notifications, and day-of logistics emails.

### What if I need to email players urgently?

Use the weather alert system instead — standard campaign emails require at least 30 minutes to queue. Weather alerts bypass this and send immediately.

### How do I email all players at once?

Leave the events filter blank — with no specific events selected, the email goes to all players in your chosen Type group.
