How to Send a Message to Club Members
To send a message to your Club members in Pickleball Clubs (PC), go to Manage → Messages → Create Message, choose email, text, or both, pick a recipient segment, and compose your content before sending or scheduling it. This guide walks through building a segment, composing your message, and reviewing it before it goes out.
Before You Begin
- You must be signed in as a Club manager for the Club you want to message.
- Your members' contact info (email address, mobile number) must be up to date on their profiles for the message to reach them.
How to get to the Messages screen
- Log into your Club account on Pickleball.com.
- Click Manage in the upper right corner.
- In the left-hand menu, click Messages.
The Messages overview shows all campaigns organized into tabs (Active, Completed, Archive, Canceled) with columns for send date, title, notification type, queue count, sent count, read count, click count, and errors. From here you can create a new message or manage any existing campaign.

Create a new message
From the Messages overview, click Create Message. You'll be prompted to configure the basics of your campaign first, then move on to composing the content.
Step 1: Basic message info
- Enter a title for your campaign. This is for your own reference — recipients don't see it.
- Choose whether to send by email, text, or both.
- Pick a recipient segment: use a pre-defined segment or toggle on build your own to filter by specific criteria.
Pre-defined segments
Pre-defined segments give you quick access to the most common audiences without building filters from scratch. Currently available:
- Active members
- Inactive members
Build your own segment
Toggle build your own to filter your recipient list by any combination of the following:
- Gender
- Age
- DUPR ratings
- Active or inactive membership status
- Membership plan type
- Membership expiration date
- Balance due (target members who owe outstanding fees)
You can save your message as a draft at any time. Drafts appear in the Messages overview under the Active tab and can be picked back up whenever you're ready.
Once you've set the basics, click Save and Continue at the bottom to move to the content editor.
Manage drafts and existing messages
From the Messages overview, click the three-dot menu next to any message to access these actions:
- Edit — open the message and continue editing
- Send as is — send the message immediately with its current content
- Cancel — cancel a scheduled or pending message
- Copy — duplicate the message as a starting point for a new campaign
- Delete — remove the message permanently
Compose your email
After you save the basics and continue, the content editor opens with two tabs: Email and Text. Fill in each one you're using (based on the notification type you selected). Start with Email if it's enabled.
- Enter a Subject line (max 50 characters).
- Type your email body in the editor. Use the toolbar to format text, add links, add images, and more.
- Use the expand button in the toolbar to open a larger editing view, or the three-dot menu in the toolbar to reveal additional formatting options.
- At the bottom, enter your Reply to email address and From name. These control what recipients see when the email arrives.
- Optionally, enter your own email address in the Test email field and click Send Test to preview what recipients will get.
Email campaigns can include up to 3 images. Add images through the editor toolbar.
Compose your text message
Click the Text tab to compose your SMS message.
- Enter your message in the Message field (max 150 characters).
- Because texts come from the Pickleball.com texting system rather than your own number, include your Club name in the message so recipients recognize who it's from.
- To preview, enter a valid mobile number in the Test field and send a test text to yourself.
Text message restrictions apply to all Club text campaigns:• No content related to CBD, alcohol, marijuana, or any other substance is permitted.• No advertising of any kind is permitted on this service.• All messages must relate to Club activity only.• Any violation may result in termination of your Club's messaging privileges.
Review, schedule, and send
- When both tabs are filled out, click Save and Continue at the bottom.
- A Review pop-up appears asking whether the message is ready to send.
- Select Yes to confirm the message is ready to send, then choose to send immediately or schedule it for a future date and time.
- Click Save & Send to queue the message.
Once sent, your message moves to the Completed tab in the Messages overview, where you can track its queue count, sent count, read count, and click count.
RecommendedAll queued campaigns are sent within 15 minutes of the scheduled send time. Once a message has been sent, the send date appears next to the campaign in the Messages overview.
Frequently Asked Questions
Can I send just an email without a text (or vice versa)?
Yes. When you set up the basics of a message, you choose email, text, or both. If you only enable one, you only need to fill in that tab in the content editor.
What can I include in a text message?
Text messages must relate directly to Club activity. Content about CBD, alcohol, marijuana, or other substances is not permitted. No advertising of any kind is allowed. Violations can result in your Club's messaging privileges being terminated, so keep text content focused on events, schedules, court updates, and other Club-related communication.
What phone number will my members see for my texts?
Texts come from the Pickleball.com texting system, not from your personal or Club phone number. Because of this, it's important to include your Club name in every message so recipients immediately recognize who it's from.
Can I schedule a message to send later?
Yes. On the Review pop-up, after confirming your message is ready to send, you can either send immediately or schedule the message for a future date and time. All scheduled messages queue within 15 minutes of the scheduled time.
Can I filter my recipient list by who owes a balance?
Yes. When you toggle build your own segment, one of the filter options is balance due. This lets you target only the members who have outstanding fees on their account — useful for payment reminders.
Can I reuse a message from a past campaign?
Yes. From the Messages overview, click the three-dot menu next to any past message and select Copy. This duplicates the message as a starting point — you can adjust the audience segment, content, or send date before saving and sending.
Can I delete a member from my club?
No. Club managers can't permanently delete a member's record. Instead, mark the member Inactive to remove them from your active roster — you can still message the Inactive members segment separately from Active members.
What is the DailyStory integration mentioned on the Messages screen?
DailyStory is a full-suite digital marketing platform that Pickleball itself uses. A native DailyStory integration is coming soon to Clubs, which will unlock pre-designed email templates and automated messaging. Until the integration is live, contact support@pickleball.com if you'd like more information about using DailyStory with your Club.
Can I delete or recall a message after it's sent?
No. Once a message has been sent (or Send as is has been used from the three-dot menu), it can't be recalled or deleted from a member's inbox or phone. You can only Cancel a message while it's still scheduled or pending — before it goes out.
